OVERVIEW:  The Bookkeeper for will report directly to the Chief of Staff/Head of Finance.  This position fulfills a critical role in operations for the company and will work directly with internal staff as well as external CPA firms, business managers, accountants, consultants and others. The successful candidate will be a hands-on, participative organizer. The individual will have a strength in financial matters as well as business matters.  This candidate must show evidence of commitment to important causes and be dedicated to a greater mission of improving lives. Benefits:

• Fantasy Football league once a year Job Description:  Functions will include, but are not limited to the following:   Banking
• Prepare bank deposits of payments received from customers and other sources, then send documentation to accountant
• Review the company's credit card/bank activity/QuickBooks, researching and working with accountant to correct any discrepancies
• Anticipate liquidity needs and process transfers between accounts
• Manage petty cash at company   General Ledger (GL)
• Periodically prepare package of invoices and documentation of other transactions, including certain accruals, and send this package to accountant to be recorded in QuickBooks.
• Review GL after every check run (twice monthly) for accuracy and present GL to President for approval Taxes
• Establish and manage timeline of tasks that must be complete to meet tax deadlines
• Prepare monthly and quarterly tax returns documents for accountant
• This position may process any payment that needs to accompany a tax return   Reporting
• Run regular reports for owners or management to keep the team apprised of cash flow, budgeting and other vital financial matters. Summarize key conclusions of these reports and recommend action items to management
• Provide requested documentation for financial statement preparation by accountants Clerical Duties
• Maintaining paper and electronic files
• Open and sort mail pertaining to the accounting department
• Archive prior-year records when the year-end books are reconciled and closed
• Contact customers and vendors through phone, fax, email and letters as necessary
• Manage Lien Releases for projects and project expense trackers   Payroll
• Backup to Chief of Staff for processing Payroll
• Confirm payroll account balances remain high enough to cover payroll.

Requirements

Key Requirements: - Must have a 4 years college degree - 3+ years of accounting, bookkeeping, AP/AR or other relevant experience - Great experience would be in another smaller family office/foundation wearing multiple different hats - Comfortable working with Apple Computer - QuickBooks experience would be great - Big Plus: experience with construction expenses   For more information or an expedited hiring process please send updated resume to Charlie O'Brien at [Click Here to Email Your Resumé]
