Project Accounting/Manager Assistant

Description

Provides project management, administrative, and project accounting assistance throughout the life-cycle of a project including: project development, project initiation, project planning, project execution and control, and project closeout.
- Meets these responsibilities by:
 Assisting with preparation of fee proposal templates, draft contracts and subcontracts for review by PM and Legal Department, and coordinating with other disciplines and suppliers to obtain required documents and input,
 Assisting with review and development of resumes,
 Assisting with preparation of Project Execution Plans,
 Participating in Project Principal review meetings,
 Preparing and/or coordinating contractual documents for signatures, and following up to ensure timely receipt of contractual documents,
 Developing Work Breakdown Structure (WBS) and Project Authorization (PA) forms including budgets and client invoicing requirements using input from the Project Manager and contractual documentation,
 Preparing and maintaining electronic and hard copy project folders,
 Monitoring and verifying that all Quality Management System (QMS) requirements are met and assisting Project Managers with compliance with the Project Management and Quality Guidelines and other requirements of the quality management system,
 Formatting and producing electronic or hard copy deliverables,
 Preparing transmittal letters or email documents to clients,
 Communicating with internal staff, suppliers and clients on behalf of the Project Manager as requested,
 Revising WBS and PA forms using input from the Project Manager based on change orders, amendments, and budget reallocations,
 Reviewing pre-bills and invoicing with Project Managers, and communicating with the Central Billing Group staff,
 Monitoring and reviewing project financial data such as, variance, revenue, budgets, WIP, and assisting the Project Manager with corrective actions,
 Scheduling project meetings, drafting agendas, attending project meetings and preparing meeting minutes as requested,
 Monitoring AR and assisting with payment collection and reporting,
 Preparing Supplier invoices for payment processing after review by project staff,
 Coordinating and attending project close out meetings and documenting minutes,
 Assisting the Project Manager with completion of Supplier Evaluation forms,
 Ensuring Client Satisfaction Evaluations are issued to clients at project completion and at significant milestones,
 Working with project staff to purge and archive project records in compliance with the Project Management and Quality Guidelines, and
 Reconciling projects at closeout and communicating findings and necessary actions to the Project Manager and Project Support Center or Central Billing Group.
