Leasing Coordinator

Description

Job Overview:

The Corporate Real Estate Leasing Coordinator will provide leasing services & administrative support to Corporate Real Estate & Lease Administration division and back-up general administrative support to the Corporate Real Estate Services department.

Principal Activities and Duties:

*Maintain the lease documentation filing system within Corporate Real Estate Services (CRES) and provide relevant documents to other departments within Dollar Bank.
*Review new leases and lease amendments to prepare accurate and detailed lease summaries/abstracts.
*Accurately enter all necessary lease information, including completed lease summaries/abstracts, into lease management databases which include, but are not limited to Sharepoint & Vendorpoint.
*Track all critical time sensitive dates and information for reporting purposes to the Corporate Real Estate Officer.
*Assist in the management of the lease process including; initiation of transactions, document processing, data input, tracking/reporting and file retrieval/storage of scan documents.
*Manage the lease file for each new lease procurement; track each lease through the procurement process; document all steps; create calendar of estimated approvals by month; provide weekly report updates to Portfolio management; draft documents for management's review and approval; prepares lease portfolio report; assemble and maintain lease files.
*Review and prepare various Corporate Real Estate Services related documents and corporate forms necessary for the execution and required delivery by Dollar Bank, including but not limited to; Estoppel Certificates, Subordination, Non-Disturbance and Attornment agreements, lease documents and purchase/sale agreements.
*Review all Corporate Real Estate Services contractual agreements for accuracy and compliance with legal regulations.
*Request and process certificates of insurance as required by the lease documents.
*Assist Management with contract/rent negotiations and property acquisitions.
*Assist Management with all aspects of Landlord/Tenant relationship, to include but not limited to, conflict resolution, timely response to all landlord inquiries, payment notices and default letters.
*Assist Management with reviewing and/or creating annual lease reconciliation statements and real estate tax calculations to ensure accuracy and lease compliance. Communicate with landlords to resolve any discrepancies.
*Assist Management in all aspects of annual budgeting to ensure accurate and timely reporting.
*Coordinate payment of all rent, operational expenses, real estate taxes, CAM charges with the Dollar Bank accounting department.
*Manage all invoicing/billing & collections of third party tenant rents.
*Coordinate meetings and appointments between CRES Personnel and Landlords & Representatives.
*Record meeting minutes for all Lease/Tenant/Landlord related meetings.
*Process all Lease/Tenant/Landlord related mailings and correspondence.
*Build and maintain relationships with all levels of Dollar Bank Management and staff.
*Collaborate with the Facilities Planning Analyst to provide primary backup support for all CRES related services.
*Other duties as assigned.

Qualifications:

*College degree required. Will consider commensurate experience.
*Minimum 2 years of lease audit and administration experience.
*Experience with and knowledge of property management systems.
*High-level accuracy and thoroughness; able to monitor own work to ensure quality.
*Excellent interpersonal, customer service skills and organizational skills.
*Excellent reading comprehension, verbal and written communication skills.
*Must be a team player able to work with others within the organization.
*Ability to work independently to achieve department objectives.
*Proficient computer skills including Microsoft Excel, Word and Access. (Candidate will be tested on Microsoft Excel and Word.)
