Growing independent wealth management firm in San Diego is seeking a professional, personable, and friendly Executive Assistant to join the team, supporting a pair of Lead Advisors. Successful candidates will possess exceptional attention to detail, as well as a strong command of the English language, with emphasis on writing, grammar, and punctuation.
• Primarily supports two Lead Advisors in executive assistant role, including scheduling, confirming appointments, maintaining calendars and contacts; coordinating projects and meetings or conference logistics, personal assistance activities.
•Facilitate phone and e-mail communications;
•Coordinate and monitor the completion of client service requests.
•Communicate effectively with portfolio managers and service teams.
•Ability to establish rapport and communicate effectively with clients,
•Prepare and handle highly confidential and privileged documents and reports such as: letters, expense reports, check requests, and other documents; scan, copy, fax, e-mail, file.
•Coordinate and handle travel arrangements and itineraries.
•Backup for front desk and other administrative staff, regular project work, and additional duties as assigned.
Qualifications & Requirements:
•Two to five years equivalent work-related experience, providing executive administrative support.
•Highly proficient with MS-Word, Outlook, Excel, PowerPoint, and computer literate.
•Familiarity with Tamarac Reporting and Salesforce a plus.
•Exceptional phone, communication, and interpersonal skills.
•Superior English language skills, including grammar, spelling, reading, writing and speaking.
•Energetic, helpful, handy, motivated, calm, and a detail-oriented self-starter.
•Very organized, ability to multi-task, with strong time management skills.
•Professional and conservative business appearance.
•High school diploma required; college degree highly preferred.
