Executive Administrative Assistant

Description



The Executive Administrative Assistant will provide administrative support for the offices of the President and Chairman of the Board.

Responsibilities include:
  • Independently perform a wide range of administrative duties and projects for executives which, by the nature of the job, involves frequent interaction at all levels of the organization and regular exposure to confidential data, requiring considerable use of tact, integrity, confidentiality, discretion and judgment
  • Engage with Board of Directors members
  • Receive and screen telephone calls, letters and visitors for the President and Chairman
  • Maintain schedules and calendars for executives and boardroom
  • File contracts and other legal documents
  • Maintain Production metrics and other spreadsheets
  • Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  • Act as a project manager for special projects, at the request of the President, which may include: planning and coordinating multiple presentations, disseminating information and organizing company-wide events
  • Other duties as assigned


Requirements:
  • 3+ years of executive level administrative assistant experience
  • 2+ years of experience in the financial services industry
  • Bachelor's degree or some college coursework preferred
  • Ability to work independently and with a team
  • Advanced organizational skills with an ability to work in a dynamic, fast-paced environment with a strong ability to multitask
  • Excellent communication skills, both verbal and written
  • Strong research, problem solving and analytical ability with an ability to resolve problems in a timely manner and gather and analyze information skillfully while maintaining confidentiality
  • Strong attention to detail, demonstrating accuracy and a thorough approach to ensure quality
  • Demonstrated reliability as it relates to punctuality and consistency
  • Advanced computer proficiency, including Microsoft Office (Word, Excel, PowerPoint)
  • Functional knowledge of basic office equipment
