The Comptroller provides leadership for the Administration Studio, acting as a conduit between the Principals and the day-to-day management of the firm. As a mid-size firm, the Comptroller acts both as financial controller as well as a visible leader, with oversight of both the accounting and employee support functions of the firm. Successful candidates will bring a combination of strong organizational skills as well as the flexibility to help guide a growing, innovative firm.
1. Finance - Learn and manage all aspects of financials.
They key elements for the first 6-12 months would be:
Items a through e below are critical to master over the first year. These will also assist with the transition of our current controller.
a. Billings - Ensure billings happen in a timely manner each month. Our staff accountant is primarily responsible for these but needs support and supervision. Also, billing requires an interface with Project Managers (PM) to make the process effective. The goal would be to have billing wrapped up each month before the end of the month. Delays in billing impact the financial health of the organization. Also monitor project contracts to ensure that no portions of a contract are left unbilled.
b. Collections - Work with the staff accountant and the PM's and Principals to track and follow up on receivables. Create a consistent protocol to make this effective. The goal would be to reduce supervision and involvement from principals and reduce receivable from 30-35% to total revenue to 20-25%.
c. Contracts - Review contracts for projects and ensure they are executed by the appropriate management team members. Advise management of any liability risks. Reach out to insurance carrier to get input if required. The goal would be to reduce principal / practice lead time in reviewing these.
d. Payables - Review and approve all payables for processing.
e. Taxation - Interface with the firm's CPA to ensure we file all city, state and federal corporate taxes in a timely manner. Review and advise partners for any input.
f. Payroll - Supervise regular and bonus payroll processed by outsourced services. Be proficient in running payroll during transitions between outsourced service providers.
g. Certifications - Track and manage our firm certifications - MBE, business related, etc. The goal is to keep these current.
h. Audit - Interface with the audit firm to ensure a complete and accurate audit of the firm's finances.
2. Operations -
The goal is to create a consistent process to drive firm wide efficiency and profitability. The responsibilities in this category are currently underserved and need attention immediately.
a. KPI's - Work with firm's Chief of Staff and project management team to develop Key Performance Indicators and ensure that the appropriate parties consistently track them and keep firm management informed of the same. Some of these KPI's include but are not limited to: i. Revenue ii. Expenses iii. Sales iv. Multipliers v. P and L - Overall, by department, by project manager and by project.
b. Work with project managers regularly to review KPI's and help drive efficiency and profitability.
c. Drive sound management decision making and reduce management time commitment on tracking this.
d. Support Chief of Staff and Human Resources on initiatives related to employee development, retention and morale. e. Assist with the development of a more formal profit-sharing plan. f. Advise on the development of a succession plan for the firm.
3. Administration -
The Comptroller provides regular direction and support to the Admin Studio. This includes providing support for, professional development oversight of, and guidance to the following staff members:
a. Human Resources - In partnership with the Chief of Staff, supervise HR activities and be a conduit for HR items that have a financial impact to firm principals.
b. Technology - Provide supervision to Information Technology Staff.
c. Reception/Office Management: Provide supervision of general administration activities in the office.
d. Miscellaneous - Lead initiatives, develop stakeholder teams, and provide direction on items like office health and Professional Liability insurance, office renovations, etc.
e. In cooperation with the Chief of Staff, support Marketing team efforts, especially as their activities relate to regular financial reporting and planning.
