AP/Payroll Specialist

  • Work with Program Director, Program Fiscal Specialists, Site Managers, and other staff in overseeing the processing of accounts payable transactions
  • Address issues immediately and initiate questions when neede
  • Receive and review purchase orders, payment approval forms and backup for accuracy and completeness and appropriate approval signatures
  • Enter payables into accounting system and generate reports for each batch run; create and maintain vendor files; follow up on all outstanding payable issue
  • Provide general ledger detail reports to Site Managers, Program Directors and Program Fiscal Specialists
  • Review new hire paperwork for accuracy and completeness
  • Enter new personnel into ADP system.Receive timesheets from programs and review for accurateness
  • Transmit payroll and receive payroll reports including paychecks
  • Ensure payroll is delivered to the programs in a timely manner.Work with Program Fiscal Specialist, Director, and Site Manager on payroll, including issues related to program transitions and summer furloughs
  • Develop and maintain allowed/ taken spreadsheets
  • Work with Fiscal Team to identify any errors in accruals and make corrections to program staff PTO balances
  • Create and modify program payroll schedules to accommodate winter/summer breaks.Lead Fiscal Specialist will review payrolls for their Fiscal Team members before they are sent to ADP.

    Requirements

    .Required Skills / Qualifications:
  • High school diploma or GED
  • Minimum of 3 years in the following;
  • Accounts payable
  • Payroll
  • Preferred Skills / Qualifications:
  • Thorough knowledge of accounts payable and payroll.
  • Knowledge of basic accounting principles
  • Working knowledge of Excel
  • Abilities:
  • Ability to communicate effectively both orally and in written form
  • Ability to establish and maintain effective working relationships with program staff
  • Ability to interpret a variety of instructions
  • Ability to work independently as well as in a team
  • Ability to prioritize and meet multiple and changing deadlines
  • Ability to maintain confidentiality in situations where it is required
